Overview

These pages will help you get started with your VJN Office 365 account.  It covers basic setup and how we use it.  If you have further questions on the use of Office 365 please check publically available online resources, there is a huge amount of information available.

What you get:

The standard package for VJN staff and volunteers contains only online versions of office products.  This means you can use, for example, Word or Outlook online in a browser, but can’t download and install it.  This is deliberate since installed versions of Office 365 will conflict with other office products you may have on your computer.  We don’t have the resources to support and manage installed software.

Here is a quick summary of the tools currently in use:

  • Outlook: An email application for your VJN email address.  You can also use any email application that is POP3 or IMAP compliant.  Click here for more information on email setup.
  • Calendar (Scheduling): A scheduling tool integrated into the email system (in the installed version of outlook, this is part of the installed application).  This can be used for internal VJN appointments and meetings (usage is not required).  Externally visible  events are published on the VJN website and social media are not integrated into this system (although there is no reason then can’t be placed in both systems).  We do not support integration with any other scheduling applications.
  • People (contacts): This is where you can manage your personal list of contacts. You can also find all other VJN members, Groups (groups of members), or Distribution Lists (an email address that goes to many people) that have been created to make it easier to communicate with each other.
  • Newsfeed: Internal VJN news and blogs.  We are not using this at this time.
  • OneDrive: Cloud storage for temporary VJN documents.  This should only be used for temporary documents that you are working on.  Any documents that need to be stored and used by other VJN members need to be stored in Sites.  OneDrive can be used for working documents to avoid cluttering up the folders in Sites.  See where do I store my files for more information.
  • Sites: Cloud storage for permanent VJN documents.  This should be used for any finished documents that are the property of VJN.  Only temporary documents should be stored in OneDrive.  See where do I store my files for more information.
  • Tasks: A task list integrated into the email system (in the installed version of outlook, this is part of the installed application).  Use as you wish.
  • Word Online: An online version of Microsoft Word.  Use as needed.
  • Excel Online: An online version of Microsoft Excel.  Use as needed.
  • PowerPoint Online: An online version of Microsoft PowerPoint.  Use as needed.
